The Busketeers - Booking Terms and Conditions

Introduction

Thank you for considering The Busketeers for your event! Please carefully review the following terms and conditions outlining our booking policies and procedures. By booking The Busketeers, you agree to abide by these terms and conditions.

General

  1. The Busketeers refer to the musical group comprised of Matthew Price, Olly Parker, Luke Engel and Kendall Williams. Sometimes the band utilise deputy musicians (deps) to fulfil bookings. All deps are professional musicians of equivalent standard. The client will be notified of any changes to the lineup in advance where possible. The use of deps does not constitute grounds for cancellation or fee reduction.

  2. These terms and conditions constitute the entire agreement between the client (referred to as "you") and The Busketeers.

  3. Any alterations to this agreement must be agreed upon in writing by both parties.

Definitions

  1. "Client" refers to the individual or organization booking The Busketeers.

  2. "Event" refers to the occasion for which The Busketeers are booked to perform.

  3. "Performance Fee" refers to the agreed-upon payment for The Busketeers' services.

Booking Process

  1. To initiate the booking process, please contact The Busketeers via their website or email.

  2. Upon confirmation of availability, all function information will be sent to the client including contact details, set list, invoice and services PDF.

  3. The booking will be considered confirmed upon receipt of a signed agreement and the required non-refundable deposit.

Non-Refundable Deposit

  1. A non-refundable deposit of £400 is required to secure the booking.

  2. The deposit amount will be deducted from the total Performance Fee.

  3. Failure to provide the deposit within the specified timeframe may result in cancellation of the booking.

  4. The remaining balance is due no later than 14 days prior to the event date. Accepted payment methods are bank transfer and PayPal. Late payment may result in The Busketeers withdrawing from the event without refund of the deposit.

Cancellation Policy

Cancellation by Client:

  1. Cancellation more than 90 days before the event — deposit forfeited, no further charges.

  2. Cancellation 30–90 days before the event — 50% of the total Performance Fee is due.

  3. Cancellation less than 30 days before the event — 100% of the total Performance Fee is due.

  4. All cancellations must be submitted in writing via email to bookings@thebusketeers.com.

Cancellation by The Busketeers:

  1. In the unlikely event The Busketeers must cancel, all monies paid will be refunded in full.

  2. The Busketeers will endeavour to provide a suitable replacement act where possible.

Force Majeure

  1. Neither party shall be held liable for failure to fulfil obligations due to circumstances beyond their reasonable control, including but not limited to acts of God, extreme weather, pandemic, government restrictions, or venue closure.

  2. In such circumstances both parties will endeavour to agree an alternative date.

  3. If no alternative date can be agreed, The Busketeers will refund any monies paid minus any reasonable expenses already incurred.

Contracts

  1. A contract will be provided outlining the details of the booking, including date, time, location, Performance Fee, and any additional terms.

  2. The contract must be signed and returned by the client to confirm the booking.

Expenses

  1. The client is responsible for covering any additional expenses incurred by The Busketeers, including but not limited to travel, accommodation, and equipment rental.

  2. These expenses will be outlined in the contract and agreed upon by both parties prior to the event.

Performance Duration

  1. The Busketeers typically perform two sets of up to 60 minutes each (usually 2 x 45 minutes), totalling up to 2 hours of performance time. The exact duration will be outlined in the contract.

  2. Any extension of performance beyond the agreed time is subject to availability and an additional fee, agreed upon prior to or on the night of the event, payable by bank transfer or cash.

Sound & Technical Requirements

  1. The Busketeers handle their own sound and technical setup unless a PA system or sound technician is provided by the venue or client and agreed upon in advance.

  2. Where a PA system is provided, it must meet the specifications outlined in The Busketeers' Tech Rider, provided at the time of booking.

  3. Failure to provide adequate technical facilities may affect the quality of the performance, for which The Busketeers cannot be held responsible.

Venue & Access

  1. The client agrees to ensure The Busketeers have access to the venue no less than 90 minutes prior to the performance start time for load-in, setup, and sound check.

  2. Failure to provide adequate access time may result in a delayed or reduced performance, for which The Busketeers cannot be held responsible.

Volume & Noise Restrictions

  1. The client agrees to inform The Busketeers of any volume restrictions, noise limiters, or noise curfews applicable at the venue prior to the event.

  2. The Busketeers cannot be held responsible for any impact on the performance quality resulting from undisclosed restrictions.

Health & Safety

  1. The Busketeers will adhere to all relevant health and safety regulations during the event.

  2. The client agrees to provide a safe and suitable performance environment for The Busketeers.

 

Insurance

  1. The Busketeers hold public liability insurance, providing coverage for any accidents or incidents that may occur during the performance.

  2. The client is advised to obtain event insurance to cover any unforeseen circumstances related to the event.

Conduct & Welfare

  1. The client agrees to ensure The Busketeers are treated with respect and professionalism throughout the event.

  2. The Busketeers reserve the right to cease performance without refund in the event of threatening behaviour, unsafe conditions, or any situation deemed a risk to the band's welfare.

 

Client Responsibilities

  1. The client agrees to provide accurate and timely information regarding the event, including date, time, location, and any specific requirements.

  2. The client is responsible for obtaining any necessary permits or licenses required for the event, including but not limited to music licenses or venue permits.

  3. The client agrees to provide suitable performance space and facilities for The Busketeers, including access to power outlets and adequate shelter if performing outdoors.

  4. The client is responsible for ensuring the safety and security of The Busketeers' equipment and belongings during the event.

  5. The client agrees to adhere to the agreed-upon schedule and provide sufficient time for load-in, setup, sound check, and performance.

  6. The client is responsible for communicating any changes or updates to the event details to The Busketeers in a timely manner.

Recording & Photography

  1. The client may take photographs and videos of the performance for personal use.

  2. Any commercial use, broadcast, or distribution of recordings featuring The Busketeers requires prior written consent from the band.

  3. The Busketeers reserve the right to use any photographs or video footage taken at the event for promotional purposes, including social media and website content.

Merchandise

  1. The Busketeers reserve the right to sell merchandise at any performance unless explicitly agreed otherwise in writing prior to the event.

Governing Law

  1. These terms and conditions are governed by the laws of England and Wales. Any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By booking The Busketeers, you acknowledge that you have read, understood, and agree to these terms and conditions.
